In yesterday's post we looked at the overall benefits of a multi-site content management system. In today's post we dig a little deeper into some of the scenarios in which a company might utilise the multi-site capabilities of elcomCMS.

If you’re looking for a way to consolidate all of your assets into a central database, in order to manage multiple sites, then elcomCMS' multi-site module provides a number of benefits. One of the few true multi-site CMS solutions, elcomCMS multi-site module allows you to run websites, intranets, training portals and extranets, all on one login.

The benefits of this are also multiple. Not only can all of the assets, users and content be stored in a single database, doing away with the need for constantly switching between programs and screens, but multiple sites can be managed from within a single instance of the software.

Ideal for enterprises that are looking for a way to increase productivity and improve user experience, the multi-site module can also be adapted to suit the specific needs of the company.

Multi-site offers:

  • single database of assets, users and content
  • comprehensive security and granular permissions control
  • multi-site functionality which allows multiple sites to be managed within the same login for website, intranets, micro-sites, mobile sites, online training portals and much more

This significantly decreases administration time and allows for a greatly improved employee experience, thanks to its ease of use. As the CMS allows for everything to be managed from one common interface, this also reduces duplicate content and allows for a high level of content management.

The powerful permission groups within the CMS make for granular control of all aspects of content management, such as articles, images and documents, and it’s a simple affair to manage assets, style guides, access controls and publishing privileges.

Workflow rules make it easy to manage documents that are used in multiple locations, such as common assets that are used on both an intranet and website, and these are version controlled to avoid duplication.

Managing workflows in this manner also means that search taxonomies are improved and content assets are automatically updated as new versions are created, for as many sites as necessary.

It’s easy to see how this kind of functionality can dramatically reduce the times needed to manually update content and significantly improve productivity, as workloads can in some cases be cut down considerably.

Improved search functionality

Because elcomCMS is both powerful and flexible, search can be configured so that it’s possible to include enterprise-wide searches. However, if this isn’t the right solution for your company’s search requirements, it can be configured site-by-site, for the ultimate in flexibility.

Add to this the improved user experience and the ROI can be significant, as employees will only need to be trained in one software environment, rather than several.

Having this single sign-in scenario means that when a new employee joins the company, training times are reduced considerably. Add to this elcomCMS’ powerful training platform and you have an ideal solution for almost all of the company’s needs.

Once an employee has undergone training on how to use the multi-site module, that’s it. The only time they will require further training is when new updates or modules are added or new software introduced. This means that moving between departments is also a simple affair, as the software is standardised throughout the company.

Further to this, when a new employee starts work, or a worker leaves the company, activating and deactivating accounts is also done from one common interface for the IT guys. This means that they no longer have to trawl through separate accounts and logins in order to deactivate or create new, reducing administration in this area too.

Just like managing a website, the company intranet can also be managed using the same tools. For example, if you were to update the company website’s terms and conditions, but also want to do so for the intranet, then this is simple as the same interface can be used and the document easily published at the same time.

Managing different departments

With the single login and database system, elcomCMS multi-site module allows you to tailor the software depending on the permissions necessary for each department. So for example, the marketing department can be given permissions on content control, whilst HR will have access to the intranet and training without having to logout and login to a different program.

This makes for continuity within the entire company, once the module is set up correctly, and saves an awful lot of time in various departments, increasing ROI across the board.

Take the sales department for example, not many of the employees will be creating content (if any at all) so don’t need access to publishing or content editing screens. However, if applicable, they can still access training portals, the company intranet and extranet and update where permissions allow.

However, for content creators, the multi-site module really comes into its own, not only avoiding duplicate content and allowing for multiple sites to be updated at the same time, but by providing assistance with the site’s SEO.

As you probably know, this is a hugely important aspect to any website and can be extremely time consuming when managing more than one site. However, with the multi-site CMS module, updating keywords, Meta-tags and descriptions can be done once and then updated across the entirety of websites and intranet.

Bearing this in mind, we’ve now identified at least four keys areas where productivity can be improved upon.

To summarise:

  • Administration for each department is reduced, as is login times as they switch between programs
  • Content updated across all platforms at the same time
  • Improved IT management for employee permissions which avoids the need for more than one account
  • Improved permissions with special access for managers enabling them to monitor workflows and sign off
  • Licensing is optimised for cost savings when choosing elcomCMS multi-site

The multi-site module from elcomCMS is a powerful and incredibly functional solution, which gives a huge amount of benefits to companies that manage more than one website and has a company intranet.

The CMS can be tailored to suit a company’s needs, giving them the edge over the competition as productivity is hugely increased. Add to that happy workers who have had their workload cut down so that they can be more efficient and you have an ideal solution to the challenge offered by today’s web and company environment.
